Quota management

Monitor mailbox usage with summary cards, a usage distribution and a list of the fullest accounts; assign quotas in bulk to a domain, a COS, a CSV list or selected accounts.

Global administratorAdmin console › Tools and Migration › Quota Manager

Overview

Open Quota Manager. The Overview (1) tab shows cards for total accounts, accounts over the threshold, total usage and the threshold percentage, the usage distribution, the per-domain table and the fullest accounts. Refresh fetches current values (usage is cached for three minutes; writing a quota clears the cache automatically). Account actions are under Manage (2); the threshold and warning e-mail are under Settings (3).

Quota source: individual or COS?

In the Manage list each account's quota source is shown with a badge in the quota source column:

  • Individual: the quota is written directly on the account; it is not affected when the COS quota changes.
  • From COS: the account follows its class of service (COS) quota.

Assigning quotas in bulk

  1. On the Manage tab choose the domain in the domain selector (1). Below it the account count, allocated and used space, average usage and the number of accounts over the threshold appear.
  2. Press Assign quota... (2) and choose the target:
    • Entire domain: writes to the accounts of the domain in Domain name. Accounts with an individual quota are skipped unless you tick Also overwrite individual quotas.
    • Class of Service (COS): changes the COS's own quota. Accounts without an individual quota follow the new value automatically; individual quotas are kept.
    • CSV list: e-mail,quotaMB lines such as john.doe@zpe.profelis.net,5120. In this mode the quota field is ignored.
    • Selected accounts: the accounts you ticked in the list.
  3. Enter the value in Quota (MB) (0 = unlimited) and press OK. The result window shows how many accounts were updated and how many were left untouched.

A single account

Search for the account, select its row, press Edit selected... (3) and type the new quota in MB in the box that opens (0 = unlimited). The list shows the new limit immediately.

Back to COS

Select accounts that were given an individual quota by mistake and press Revert to COS quota (4). The accounts follow the COS quota again. To find them, tick the individual-quotas-only box and press Search.

Warning e-mail

  1. Settings: enter the threshold percentage, sender address, subject and body. In the subject and body you can use {email}, {used} (MB), {quota} and {pct} (usage percentage). OK.
  2. The Notices tab lists the accounts over the threshold. With no row selected the warning goes to everyone in the list; with rows selected, only to those.
